Add your people

You cannot request a collection for somebody who is not on your roster. In this guide we add one person by hand, import a whole list from a file, and set up the groups that decide which tests apply to whom.

Steps 1 to 4

Add the people

Team Members is your roster. Everyone who might need a collection, and everyone who runs the company, belongs here.

Everything about one person: name, phone, date of birth, which groups they are in, their role, and whether they get texts about active collections. For a manager, two switches matter: Billing access, and Hide results. Their sign-in email is theirs to change, not yours.

One row per person with an email address, plus optional name, address, phone and role columns, up to 500 rows. Download the example file first so your columns match. Say whether the file is DOT or Non-DOT, choose it, and import. New people get an email to set a password.

Steps 5 and 6

Sort them into groups

Next, the groups. Every company starts with two: DOT for people tested under federal rules, Non-DOT for people tested under your own policy. The group is what decides which test types a collection can use, so it matters that people are in the right one.

Who belongs in the DOT group?
The staff you test under federal Department of Transportation rules, typically safety-sensitive roles such as CDL drivers. Everybody else tested under your own company policy belongs in Non-DOT. Somebody can be in both.
What can a member do that a manager cannot?
Nothing extra. A member takes part only as a donor: they request and follow their own collections and see nothing else. A manager runs the company. One person can be both.

A group has a title, an icon and colour, and the DOT switch that marks its members as federally regulated. At the bottom is a shareable link that signs people straight into that group. Hand the DOT link to your drivers and the roster builds itself.

Your roster is in. Next, Topic 4 sets your company defaults, your sites and your lab, so every collection you request starts with the right answers already filled in.
